Who we are

ClockPin is a workforce time-recording service operated by IQ Learning Group Limited, of 120 Priory Street, Carmarthen, SA31 1NB, United Kingdom. In these terms, “ClockPin”, “we”, “us” and “our” mean IQ Learning Group Limited. “Customer” and “you” mean the business or person creating the account.

The service

ClockPin provides a browser-based clock-in terminal, employee records, attendance information, timesheets and reports. You are responsible for configuring the service, checking records before relying on them and ensuring that your use complies with employment, payroll, monitoring and data-protection laws.

ClockPin is an attendance-recording tool. It is not payroll, tax, employment-law or professional advice.

Accounts and authority

You must provide accurate information and keep login details secure. The person creating an account confirms that they are at least 18 and authorised to bind the relevant business. You are responsible for administrators, managers, employees and devices using your account, including the lawful issue and protection of employee PINs.

Trial and subscription

The standard offer is a 14-day free trial followed by a recurring subscription of £9.99 per month for one business account and up to 99 active staff members. A valid payment method is required to activate the trial, but nothing is charged at activation. The trial begins when Stripe Checkout is completed. No charge is made if you cancel before the trial ends. After the trial, the subscription renews monthly until cancelled.

The price and first payment date shown at checkout, including any applicable tax, are the terms that apply. We will give reasonable advance notice of a price change and allow you to cancel before it takes effect.

Payments through Stripe

Payments are processed securely by Stripe. By submitting payment details, you authorise recurring monthly charges and agree that Stripe may process the payment information needed to complete them. Stripe is our payment processor; it is not the supplier of ClockPin and is not responsible for the service, cancellations or refunds.

If payment fails, we may retry it, ask you to update your payment method, restrict paid features or suspend the account after reasonable notice.

Cancellation

You may cancel at any time through the account billing controls or the Need a hand page. Cancellation stops the next renewal and access continues until the end of the paid billing period, unless we tell you otherwise. Deleting an app or ceasing use does not by itself cancel a subscription.

Acceptable use

You must not use ClockPin unlawfully; access another customer's data; probe or disrupt the service; upload malicious material; reverse engineer protected parts of the service; resell access without permission; or use attendance data in a discriminatory, covert or unlawful way.

Your data

You retain rights in the business and staff information entered into ClockPin. You authorise us to host, process, back up and transmit that data only as needed to provide, secure and support the service. Our handling of personal data is described in the Privacy Policy.

Availability and changes

We aim to provide a dependable service, but do not guarantee uninterrupted or error-free availability. We may carry out maintenance, fix security issues and make reasonable product changes. Material reductions to the paid service will be communicated where practicable.

Ownership

ClockPin, its software, design, branding and documentation belong to IQ Learning Group Limited or its licensors. These terms give you a limited, non-exclusive, non-transferable right to use the service during your trial or paid subscription.

Liability

Nothing excludes liability that cannot lawfully be excluded, including liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or mandatory consumer rights. Subject to that, we are not liable for indirect or consequential loss, lost profit, lost revenue, loss caused by inaccurate customer input, or payroll and employment decisions made from unchecked records.

For business customers, our total liability arising in any 12-month period is limited to the fees paid or payable for ClockPin during that period.

Ending access

We may suspend or terminate access where you materially breach these terms, create a security risk, use the service unlawfully or fail to pay. Where reasonable, we will give notice and an opportunity to remedy the issue. On termination, you should export records you are legally required to keep.

Changes and law

We may update these terms with reasonable notice for material changes. The laws of England and Wales govern these terms. The courts of England and Wales have jurisdiction, except where mandatory law gives a consumer the right to bring proceedings elsewhere.
